Assistant Director provides administrative and operational leadership for Hematology/Oncology, including the Provider Clinic and Infusion Clinic. Reporting to the Clinic Director, this position directly oversees front desk and scheduling operations and supports financial management, revenue and billing analysis, insurance authorization reporting, departmental budgets and expenditures, patient service recovery, facilities and maintenance coordination, provider Epic templates and scheduling, collaborative provider governance, regulatory readiness, and operational improvement initiatives.
The Assistant Director works collaboratively with clinical, administrative, financial, and support teams to improve patient access, operational efficiency, patient experience, and departmental performance. Duties & Responsibilities Operations Management: Support the Clinic Director in overseeing day-to-day administrative and operational functions across the Hematology/Oncology Provider Clinic and Infusion Clinic. Identify operational barriers, coordinate solutions, and implement workflows that improve patient access, efficiency, service delivery, and departmental performance.
Collaborate with physicians, advanced practice providers, nursing leadership, administrative teams, and support departments on clinic operations, departmental initiatives, policies, procedures, and special projects. Support collaborative provider governance through operational planning, practice support, access management, scheduling, resource utilization, and implementation of departmental priorities. • Front Desk, Scheduling, and Staff Management: Directly supervise front desk and scheduling operations, including hiring, onboarding, training, coaching, performance evaluation, staffing, attendance, and daily work assignments.
Monitor registration, appointment scheduling, check-in and check-out, referral coordination, patient access, and related administrative workflows. Coordinate and maintain provider scheduling templates in Epic, including template development, modifications, availability, session changes, and scheduling adjustments in collaboration with providers and departmental leadership. Evaluate provider scheduling patterns, template utilization, and access needs and recommend changes to support appropriate patient capacity and operational efficiency.
Establish performance expectations and ensure staff adherence to departmental policies, procedures, service standards, and operational requirements. Financial, Revenue, and Insurance Authorization Operations: Generate, analyze, and monitor departmental revenue, billing, charge, insurance authorization, denial, expenditure, patient volume, and other financial and operational reports. Assist with departmental budget management, expenditure monitoring, itemized requests, purchasing, and tracking of departmental spending.
Monitor charge capture, billing activity, insurance authorization trends, denials, and reimbursement issues that may affect patient access, scheduling, or departmental revenue. Collaborate with Finance, Revenue Cycle, Billing, Reimbursement, Revenue Integrity, authorization teams, scheduling staff, and clinical teams to identify and resolve financial and authorization-related issues. Analyze financial and operational data to identify trends, revenue opportunities, expense concerns, utilization issues, and opportunities for improved resource management.
Patient Experience and Service Recovery: Serve as an administrative escalation point for patient and family concerns involving scheduling, access, communication, registration, and clinic operations. Perform service recovery in collaboration with clinical leadership, Patient Experience, providers, and other departments to appropriately address and resolve patient concerns.
