listed below: Operational Support Support daily clinic operations to promote efficient patient flow and quality patient care. Serve as the primary operational resource when the Practice Manager or Director is unavailable. Assist with addressing routine operational questions and workflow concerns.
Help identify operational issues and communicate them promptly to the Practice Manager or Director. Submit and track facility maintenance work orders and Information Technology (IT) support tickets as needed. Assist with coordinating repairs or follow-up for equipment, facility, or technology issues.
Help monitor clinic readiness, including supplies, equipment, and work areas. Assist with implementing clinic policies, procedures, and workflow improvements. Support compliance with organizational policies, HIPAA, OSHA, infection prevention, and patient safety standards.
Staff Support & Communication Serve as a resource for Medical Assistants, Front Office staff, and providers regarding routine operational questions. Help orient and support new employees during daily operations. Promote teamwork, professionalism, accountability, and respectful communication.
Help prioritize daily workflow and identify staffing or operational concerns. Notify the Practice Manager promptly of issues affecting patient care, employee performance, safety, or clinic operations. Encourage staff to utilize appropriate resources and follow established workflows.
Patient Care & Customer Service Promote a positive patient experience by assisting with service recovery when concerns arise. Assist staff in resolving routine patient concerns and escalate complex complaints to leadership. Support efficient patient flow and timely communication regarding delays.
Promote excellent customer service and professional interactions throughout the clinic. Administrative & Operational Assistance Assist with monitoring clinic supply levels and communicating ordering needs. Complete or assist with maintenance requests, equipment service requests, and IT tickets.
Help ensure required logs, inspections, and daily operational checklists are completed. Help coordinate operational projects assigned by the Practice Manager. Supervisory Responsibility: This position does not have formal supervisory responsibilities and does not participate in hiring, disciplinary action, performance evaluations, or scheduling decisions.
The Clinic Lead provides day-to-day operational support, assists with workflow coordination, serves as a resource for staff, and communicates operational concerns to the Practice Manager or Director. Responsible to Practice Manager Education High school diploma or equivalent required. Training and Experience Minimum one (1) year of experience in an outpatient medical office preferred.
Current experience as a Medical Assistant or Front Office Representative within the organization preferred. Demonstrated reliability, professionalism, and positive attendance. Strong communication, organizational, and problem-solving skills.
Ability to prioritize multiple responsibilities in a fast-paced environment. Working knowledge of electronic medical records and outpatient clinic workflows. Assist providers with examinations and procedures. Complete clinical documentation accurately and timely. Manage medication refills, patient messages, laboratory follow-up, and other assigned clinical tasks.
Front Office Track Register patients and complete check-in/check-out. Verify insurance and demographic information. Schedule appointments and manage provider schedules.
Process referrals, prior authorizations, incoming calls, and patient inquiries. Maintain accurate patient records within the electronic medical record.
