JOB SUMMARY Under supervision of the Ambulatory Care Patient Supervisor and Administrative Manager and guided by policies and procedures of the Ambulatory Services Organization, and in collaboration with clinical staff, the Medical Assistant assists in the delivery of care to patients in UCSF Endocrine Practice. General responsibilities include managing patient flow in the practice, obtaining vital signs, reviewing health maintenance status, maintaining and stocking exam rooms, and assisting in emergencies.
The Hospital Assistant III also supports general administrative functions at reception including scheduling, referral management and other duties as required and demonstrates excellent customer service skills with patients and staff. The Hospital Assistant must be able to competently work in an advanced Electronic Health Record environment. The Hospital Assistant is required to comply with the Medical Center House and Telephone Standards.
REPORTING RELATIONSHIPS Supervises no staff. DUTIES & ESSENTIAL JOB FUNCTIONS % of time Essential Function (Yes/No ) Key Responsibilities (To be completed by Supervisor) 70 YES Clinical Functions Monitors Patient flow in and out of the clinic. Supports medication reconciliation process.
Performs routine clinical functions, including but not limited to vital signs, height, weight, and assessment of chief complaints. Handles phone calls and reviews messages, documenting medication requests and prepares appropriate documentation for clinicians. Assists patients in preparation for exam or procedures.
Reports any problems or concerns with individual patients to the Practice Manager or attending provider. Performs clinical activities in an accurate timely manner. Effectively works in an advanced Electronic Health Record environment.
Complies with all Ambulatory Services and Medical Cener policies and procedures for infection control, safety, administrative and clinical practice. Compile with activities mandated by TJC / Title 22. Completes annual competency testing.
Process prior medication authorization requests. Able to perform POCT and Glucometer testing and maintains annual competency. 20 YES Patient Communication Answer calls and demonstrates courtesy and follow through in all telephone communication. Maintaining Medical Center Telephone Standards.
Follow clinic protocols to screen, triage and responds to patient messages via UCSF patient communication portal. Support clinicians with inBasket messages . Follow HIPAA for patient privacy and confidentiality. 10 YES Administrative Functions Assists providers with lab or clinic forms and other requisitions as appropriate.
Schedule patients in Cadence. Assist with patient discharge from practice. This includes scheduling follow up appointments, scheduling tests and procedures and providing directions.
Coordinate patient check out and referrals. Fills in at reception in check in / check out roll on an as needed basis. REQUIRED QUALIFICATIONS One to two years’ experience as a Medical Assistant in a high-volume clinical practice Active American Heart Association CPR certification Certification from an approved Medical Assistant program Strong computer skills, including basic keyboarding skills Ability to prioritize and work efficiently with multiple forms of patient & provider communication Excellent organizational and problem-solving skills Excellent verbal skills Excellent interpersonal skills Strong writing skills to include the ability to compose basic office communications Ability to deal sensitively and effectively with patients Ability to communicate effectively and efficiently with team physicians and referring physicians Demonstrated attendance record Professional appearance and demeanor The flexibility to orient and work at all UCSF Medical Center locations PREFERRED QUALIFICATION CPT Phlebotomy License Bachelor’s degree or equivalent college education Knowledge of medical insurance Familiar with medical terminology Familiar with health care policies such as HIPAA or Joint Commission requirements Familiar with outpatient clinic workflow Experience of Epic health records system REQUIRED LICENSES/CERTIFICATIONS American Heart Association BLS – CPR Certified Medical Assistant Certification
