  • $30.60 - $50.49Care for our community, and your career.JOB OVERVIEWThe Clinic Operations Manager coordinates the full range of clinical and administrative operations, organizes and develops staff, and collaborates with providers and departments across the organization to deliver high-quality patient care. The role carries responsibility for the clinic's operational policies and procedures, financial and revenue cycle performance, regulatory compliance, and the ongoing education and development of the team. This is a broad management position requiring strong leadership and administrative skills and the ability to move between day-to-day problem solving and longer-term planning.RESPONSIBILITIESOperations Management
  • Oversees the day-to-day operations of the clinic, ensuring efficient workflow, appropriate coverage, and smooth coordination across clinical and administrative functions.
  • Continuously evaluates operations and workflows to identify opportunities to improve efficiency, quality, patient experience, and financial performance; develops, recommends, and acts upon improvement initiatives, leading change and using operational data and metrics to prioritize efforts and measure impact.
  • Monitors staffing productivity and staffing levels against recognized industry benchmarks (e.g., MGMA or comparable specialty standards) to ensure appropriate, cost-effective staffing, and manages staffing within budgeted FTE targets.
  • Analyzes staffing ratios and workload relative to patient volume and benchmark targets, identifying opportunities to improve efficiency and productivity and implementing plans to close gaps.
  • Establishes an efficient, responsive patient-flow and appointment system and manages an effective complaints process to drive patient satisfaction.
  • Identifies facility and equipment issues and coordinates with facilities and housekeeping for maintenance, repairs, and upkeep; manages supply inventory and purchasing.
  • Supports business continuity and disaster recovery procedures for the clinic.
  • Assures a current, accurate medical record system with timely entry of information and proper handling of release, storage, and destruction; supervises transcription for quality, confidentiality, and timeliness.
  • Analyzes and helps administer payer and vendor contracts (HMO, PPO, Medicare, industrial, and others) and updates staff on relevant changes in the insurance environment.
  • Supports marketing, community engagement, and practice-development activities, acts as liaison with the accountant, vendors, and contractors, and performs other duties required to properly manage the clinic.Staff Management
  • Recruits, hires, orients, schedules, evaluates, and directs support staff to assure efficient, effective clinic workflow and appropriate coverage.
  • Conducts timely performance evaluations and fosters employee engagement, morale, and retention through regular recognition and feedback.
  • Partners with Human Resources on coaching, corrective action, performance improvement plans (PIPs), the disciplinary process, and grievance resolution, ensuring required documentation is completed and forwarded to HR.
  • Leads onboarding and ongoing staff education so the team stays current on policies, revenue cycle, coding, customer service, compliance (HIPAA, OSHA, CLIA), and EHR/practice management systems.
  • Mentors and cross-trains staff to build depth, morale, and an effective succession plan; maintains and updates

  • Participates in developing, monitoring, and managing the clinic operating budget; tracks performance against targets and acts on variances.
  • Oversees the front-end revenue cycle — registration, eligibility/benefit verification, prior authorization, point-of-service and copay collections, and accurate charge capture.
  • Monitors key revenue cycle and operational metrics (collections, denials, days in A/R, no-show rate) and drives improvement.
  • Minimizes overhead through inventory control, and waste reduction
  • Oversees petty cash, daily balancing, and reconciliation.
  • Establishes internal financial controls, liaises with the accountant and billing office, and briefs provider(s) on financial matters, forecasting, and cash flow.Regulatory Compliance (OSHA, CLIA & HIPAA)
  • Maintains an appropriate OSHA plan (bloodborne pathogens, hazard communication, biohazardous waste, exposure control), required manuals, waste contracts, and proper disposal; assures physical-plant compliance.
  • Maintains the CLIA manual, forms, and protocols to federal/state standards and monitors staff compliance.
  • Implements and maintains HIPAA-compliant policies for the privacy and security of protected health information, and keeps current on applicable regulations.JOB REQUIREMENTS
  • Bachelor's degree in healthcare administration, business/management, or related field preferred; or a commensurate level of education and work experience.
  • Minimum of at least one year of supervisory/management experience in healthcare.
  • Knowledge of medical practice operations, terminology, budgeting, revenue cycle, and reimbursement/compliance (HIPAA, OSHA, CLIA).
  • Proficiency with computers, practice management software, and EHR systems.PERFORMANCE REQUIREMENTS
  • Skilled in planning, organizing, delegating, and supervising; in budgeting, financial monitoring, and revenue cycle management; and in problem solving and evaluating methods and procedures.
  • Strong verbal and written communication and staff-development skills; able to lead, motivate, and develop a diverse team.
