and Responsibilities As our Clinic Receptionist in our Primary Care & Ortho Clinic at CHI St. Joseph's Health , now part of CommonSpirit Health formed between Catholic Health Initiatives (CHI) and Dignity Health, you’ll be a vital part of our office team, supporting our clinic manager and keeping things running smoothly. Your success in this role stems from your ability to be kind and personable, while still maintaining your work output.
You will be answering and routing phone calls in accordance with practice policies; scheduling patient appointments; greeting and registering patients; collecting, verifying and updating patient demographic, copays, and insurance information; and general administrative support duties. You'll do a lot of work in various Google programs: Docs, Sheets, Drive, and Calendar, to name a few. You'll also handle sensitive information, so you know that confidentiality is a must.
And while our environment can get very busy at times, you'll stay calm and work through it, knowing the whole team is here to help if you have an issue.

Patient Intake & Registration: Manage the efficient check-in process, ensuring all regulatory paperwork is completed, registration documentation is filed, and charts are prepared with necessary patient information. Appointment Management: Coordinate the scheduling of new visits, confirm upcoming appointments, and proactively communicate preparation requirements, including necessary documentation and expected time-of-service payments.
Financial Processing: Verify insurance details, collect copays and deductibles at both check-in and check-out, and handle all patient responsibility payments in compliance with clinic policies. Electronic Medical Records (EMR) Maintenance: Accurately scan and digitize patient IDs, referrals, and insurance cards, ensuring all hardcopy materials are properly uploaded and organized within the EMR system. Front Office Communication: Serve as the primary point of contact for incoming calls, directing inquiries appropriately and managing follow-up communications regarding clinic policies, such as the No-Show Guidelines.
Patient Check-Out & Continuity of Care: Facilitate the check-out process by scheduling follow-up appointments and ensuring all administrative tasks related to the visit are finalized. Job Requirements Required High School graduate or GED. Current or recent administrative assistant, reception, registration and/or scheduling experience in a clinical practice setting.
