The UCSF Office of Medical Education is seeking an Implementation Project Manager to provide project management and operational coordination in support of the implementation of the F1 (preclinical) phase of the San Joaquin Valley Program in Medical Education (SJV PRIME+) at UC Merced. Working under the direction of SJV PRIME+ program leadership, the incumbent will coordinate implementation activities across UCSF, UCSF Fresno, and UC Merced to support Day-1 operational readiness for the Fall 2027 launch.

The position serves as the primary project management resource for the F1 Functional Readiness Teams by organizing implementation activities, maintaining project plans and documentation, monitoring progress toward milestones, and supporting coordinated execution across multiple functional domains. Working in partnership with program leadership and Functional Readiness Teams, the Implementation Project Manager serves as the operational hub for implementation activities by organizing and coordinating work across multiple functional domains.

The incumbent develops project management tools and implementation documentation, synthesizes updates from functional teams into clear status reports and presentations, tracks action items and implementation milestones, and facilitates communication and follow-up to support coordinated execution across UCSF, UCSF Fresno, and UC Merced. The ideal candidate is an experienced project management professional with demonstrated success coordinating complex, cross-functional initiatives in a collaborative environment.

The successful candidate possesses exceptional organizational, analytical, communication, and relationship-building skills, and is adept at managing multiple concurrent priorities while producing high-quality work products. A minimum of five (5) years of progressively responsible experience in project management, implementation, operations, or a related field is required. This position reports to the SJV PRIME+ Program Director and works in close partnership with SJV PRIME+ program leadership and Functional Readiness Teams to support successful implementation of the F1 phase at UC Merced.

To achieve this mission, UC Merced and UCSF will design and implement a multi-campus SJV Baccalaureate/MD program encompassing the following: Baccalaureate education and preparation for medical school at UC Merced Development of an equivalent UCSF regional medical school campus Design, test, and implement innovative systems of healthcare About the Office of Medical Education The School of Medicine’s Office of Medical Education (OME) is the administrative unit that oversees all health professions education programs for the School of Medicine which includes 1,200 teaching faculty, 650 medical students, 1500 residents and fellows and 30,000 continuing education activities each year.

For the past ten years, UCSF has been the only medical school ranked in the top five for research and for primary care training. The Office of Medical Education sets all strategic directives for medical education across the enterprise. OME is responsible for ensuring the highest quality learning and teaching environment for our programs and the support and development of over 110 staff.

Under the direction of program leadership, develops and maintains implementation tools, work plans, documentation, and reporting that support successful execution of program priorities. Responsibilities include: Coordinate implementation activities across multiple Functional Readiness Teams to support progress toward Day-1 operational readiness. Schedule, organize, and facilitate functional team meetings, ensuring agendas, materials, documentation, and follow-up activities are completed.

Develop and maintain implementation plans, milestone trackers, action item logs, readiness trackers, and implementation schedules. Monitor implementation progress, identify overdue tasks or potential delays, and follow up with functional teams to support timely completion of deliverables. Develop first drafts of implementation plans, readiness documentation, dashboards, presentations, reports, meeting summaries, and other program materials for review by program leadership.

Collect, organize, and synthesize implementation updates from functional teams into concise status reports and progress summaries. Coordinate implementation activities across UCSF, UCSF Fresno, and UC Merced to support alignment of project timelines, deliverables, and operational activities. Identify implementation dependencies, resource needs, and potential barriers, escalating issues to program leadership as appropriate.

Maintain implementation documentation, including work plans, readiness evidence, decision logs, action trackers, and project records. Coordinate development and maintenance of implementation templates, workflows, and project management tools to promote consistency across functional teams. Support functional teams in planning implementation activities, documenting operational processes, and organizing readiness evidence.

Foster collaboration and communication among functional teams and campus partners to support coordinated implementation efforts. Adapt to changing priorities while maintaining multiple concurrent implementation activities and deadlines. Support continuous process improvement by documenting lessons learned and recommending opportunities to improve implementation efficiency and coordination. 25 Yes Provides high-level operational coordination in support of program leadership by facilitating cross-functional collaboration and assisting with implementation of approved program initiatives across UCSF, UCSF Fresno, and UC Merced.

Clarify implementation responsibilities, timelines, and dependencies to improve coordination across functional teams. Coordinate follow-up on program priorities and implementation activities assigned by program leadership. Build and maintain productive working relationships with faculty, staff, and campus partners to facilitate successful implementation. 15 Yes Develops communication materials and implementation reporting that support program coordination and keep functional teams and leadership informed of implementation progress.

Responsibilities include: Develop and maintain implementation communication tools, including dashboards, status reports, meeting summaries, newsletters, and project updates. Gather, organize, analyze, and summarize information from functional teams to prepare reports and briefing materials for program leadership. Design presentations and communication materials to support leadership meetings, implementation planning, and stakeholder engagement.

Document meeting outcomes, implementation decisions, action items, and follow-up activities to maintain project momentum and accountability. Develop first drafts of implementation plans, readiness reports, process documentation, training materials, and workflow documents for leadership review.
