Our team works to coordinate scheduling across Highpoint Health (Sumner, Riverview, and Trousdale), partnering closely to manage a high volume of patient needs while maintaining accuracy and a positive patient experience.
You’ll receive hands-on training and support from experienced team members to help you build confidence and succeed independently in the role. How you’ll contribute A Scheduler who excels in this role: Coordinate and schedule diagnostic testing, procedures, and other applicable services for patients across Highpoint Health – Sumner, Riverview, and Trousdale facilities. Manage a high volume of incoming scheduling requests and patient calls while maintaining accuracy, efficiency, and a positive patient experience.
Review physician orders to ensure required information is present and appropriate for scheduling. Identify incomplete, unclear, or problematic physician orders and follow up with the appropriate physician office or department to obtain clarification or corrected information. Accurately enter patient, scheduling, insurance, and order information into applicable scheduling and registration systems.
Obtain and verify patient demographic and insurance information as needed during the scheduling process. Assist patients in identifying and scheduling the appropriate appointment, test, or procedure based on the physician order and established scheduling guidelines. Communicate appointment details, preparation instructions, and other applicable information clearly and professionally to patients.
Answer incoming telephone calls and provide timely, courteous assistance to patients, physician offices, and internal departments. Work closely with physician offices, Patient Access, clinical departments, and other facility teams to resolve scheduling questions and order-related issues. Prioritize multiple competing tasks while managing back-to-back calls and maintaining a high level of accuracy.
Recognize when additional clarification or assistance is needed and appropriately escalate questions rather than making assumptions that could result in scheduling errors. Maintain patient privacy and confidentiality in accordance with organizational requirements. Work independently in a remote environment following completion of required onsite training while remaining engaged and communicative with the Central Scheduling team.
Participate in required training, education, and performance improvement activities. Perform other duties as assigned to support Central Scheduling and Patient Access operations. What we’re looking for Applicants should have a high school diploma or equivalent.
Additional requirements include: Required: Strong computer and keyboard/typing skills, with the ability to efficiently learn and navigate scheduling and registration systems. Strong attention to detail with a demonstrated ability to maintain accuracy in a high-volume, fast-paced environment. Excellent multitasking and organizational skills with the ability to manage back-to-back calls and competing priorities with minimal downtime.
Strong critical-thinking and problem-solving skills, including the ability to recognize when information is incomplete or unclear and determine the appropriate next step. Ability to accurately review physician orders, identify order-related issues, and follow up appropriately before scheduling. Strong verbal and written communication skills with a professional, patient-focused approach.
Excellent customer service skills with the ability to balance efficiency and productivity expectations while ensuring patients feel heard and supported. Ability to learn, retain, and consistently apply detailed scheduling processes, procedures, and information. Adaptability and ability to remain productive and composed in a rapidly changing, high-volume environment.
Ability to work effectively with minimal supervision and demonstrate accountability while working remotely. Strong teamwork and communication skills with the ability to remain connected and collaborative within a remote team. Ability to complete the required onsite training period before transitioning to remote work.
Preferred: Previous scheduling experience within a hospital, physician practice, or other medical setting. Previous experience working remotely or independently with minimal direct supervision. Medical/healthcare background with a basic understanding of anatomy and medical terminology.
Previous experience reviewing or working from physician orders. Previous experience with healthcare scheduling, registration, billing, and/or insurance information. Familiarity with hospital or medical scheduling/registration systems.
Monday-Friday, 8:30am – 5:00pm Work Location : Remote after successful completion of onsite training. This position is designed to transition to remote work following successful completion of the required onsite training period at Highpoint Health – Sumner Regional Medical Center in Gallatin, TN. Candidates should be prepared to complete approximately 4–8 weeks of onsite training, depending on individual progress and demonstrated proficiency, before being released to work remotely.
