About the Position Staffing Clerrk Full-Time: 1.0 FTE (80 hours per pay period) Days Offsite INTERNAL POSTING THROUGH: 10/2/2026 JOB DUTIES A. Staffing and Scheduling Develop, maintain, and post clinic nursing schedules in accordance with staffing guidelines, collective bargaining agreements, organizational policies, and applicable federal and state requirements. Process and coordinate schedule changes, including time-off requests, leaves of absence, transfers, resignations, call-ins, and other staffing adjustments.
Maintain staffing templates and staffing grids and proactively address projected staffing needs to support patient care and operational requirements. Communicate schedule updates, staffing changes, open shifts, and time-off decisions to staff and leadership in a timely and professional manner. B.
Attendance, Timekeeping, and Payroll Monitor attendance, tardiness, overtime, paid time off, and leaves of absence, identifying and reporting trends or concerns to leadership. Review and reconcile employee timecards, pay codes, and payroll data, obtaining necessary corrections and approvals to ensure accurate and timely payroll processing. Resolve timekeeping and payroll discrepancies and coordinate corrections with employees, managers, and Payroll.
C. Training, Compliance, and Reporting Schedule and track required education and training records through the organization's learning management system. Maintain scheduling, staffing, attendance, and personnel records and prepare standard and ad hoc reports.
Track and apply scheduling-related contract provisions and metrics, including PTO utilization, staffing requirements, and other contractual obligations. D. Collaboration and Continuous Improvement Partner with clinic leadership to identify staffing and scheduling challenges, recommend solutions, and implement process improvements.
Provide backup scheduling and staffing support for Revenue Cycle operations during absences or periods of increased workload. E. Other Duties Perform other related duties as assigned.
If you have these qualifications, we'd love to chat: Associate's degree in a healthcare-related field preferred. Advanced computer skills, including proficiency in Microsoft 365 applications; successful completion of the Basic Excel Competency Assessment required. Experience with staff scheduling, timekeeping, payroll processes, and collective bargaining agreements preferred.
Demonstrated ability to interpret and apply complex collective bargaining agreement provisions in staffing, scheduling, attendance, and payroll-related decisions required. Strong communication, organizational, customer service, problem-solving, and time management skills, with the ability to manage competing priorities in a fast-paced environment. Demonstrated commitment to reliability, professionalism, confidentiality, and adherence to Grand Itasca Clinic & Hospital's Mission, Vision, Values, and policies required.
