With 388 beds it is the second largest of Duke Health's four hospitals and offers a comprehensive range ofmedical, surgical, and diagnostic services, including orthopedics, weight-loss surgery, women's services, and heart and vascular services. Location: Duke Regional Hospital 3643 N Roxboro St, Durham NC 27704 Working Hours: 2:00pm-10:30pm Occupational Summary Perform duties related to computerized order entry, distribution of supplies, linen, and equipment, as well as the shipping and receiving of hospital merchandise.
Maintain effective inventory management processes by meeting supply needs through prompt delivery, ensuring accuracy of issued supplies, and maintaining the availability and proper working condition of equipment. Work Performed Level I Responsibilities include supporting optimal inventory management for assigned facilities. In accordance with established policies and procedures, Level I staff are required to: Distribute and restock supplies and/or linen for end users.
Utilize Supply Chain technologies, including Pyxis and SAP, to document the movement of supplies. Perform regular cycle counts to ensure accurate inventory levels. Check expiration dates on supplies, document findings, and appropriately discard expired products.
Accept and sign for deliveries from distributors as needed. Inspect shipments, enter goods receipts into SAP, and file packing slips. Report shipment discrepancies to on-site management.
Prepare and process vendor returns and rotate stock in all inventory areas. Move and stock supplies in appropriate shelving locations after receiving is completed. Transport shipments from the loading dock to stockrooms and deliver packages to designated recipients.
Deliver non-supply items, such as medical gas and linen, as required. Participate in mid-year and year-end inventory counts. Complete all STAT orders according to established service level agreements.
Provide excellent customer service when addressing supply and linen-related inquiries. Maintain clean and organized workspaces and storage areas throughout the facility. Proactively recommend operational efficiency improvements.
Level II In addition to Level I responsibilities, Level II associates are expected to spend at least 50% of their time performing multiple advanced functions. Responsibilities include: Serve as a mentor and preceptor for Level I associates. Act as backup Team Lead when necessary.
Provide excellent customer service to nursing units, operating rooms, Cath Labs, physicians, nurses, and other specialty departments. Coordinate and deliver supplies and products to off-site clinics and facilities. Manage inventory and assist with annual inventory preparations and counts.
Oversee consignment inventory and related processes. Support inventory management activities within procedural areas. Collaborate with stakeholders to adjust PAR levels and address slow-moving inventory.
Troubleshoot supply shortages and communicate operational impacts. Utilize ERP systems to generate reports, locate products, manage handheld technologies, replenish PAR locations, and close daily SAP transactions. Serve as the Subject Matter Expert (SME) for the TIMS module, including receiving and documentation processes.
Generate and analyze reports from EPIC and Pyxis to support inventory and operational recommendations. Participate in PERT, OR EDIT, and VAT discussions as assigned. Utilize Vendormate and assist with vendor management activities as assigned.
Work with customers to reconcile invoices as needed. Complete assigned duties with minimal supervision from leadership. General Responsibilities (Level I & II) Perform additional job-related duties, as reasonably assigned, to support safe patient care practices.
Cross-train in other operational functions and provide support when needed. Work collaboratively with colleagues to achieve organizational and departmental goals. Maintain professionalism when responding to customer needs.
Effectively operate within a computerized work environment. Knowledge, Skills, and Abilities Level I Ability to exert 20 to 50 pounds of force occasionally, 10 to 25 pounds frequently, and up to 10 pounds constantly to move objects. Ability to push and pull unloaded and loaded carts requiring up to 100 pounds of force daily.
Frequent reaching, lifting, stooping, and bending. Commitment to continuous process improvement and service excellence. Ability to work cooperatively to achieve organizational and team goals.
Strong problem-solving skills and ability to contribute innovative ideas. Sense of urgency and a proactive customer service approach. Level II In addition to Level I requirements, candidates must possess: Experience using an ERP system.
Demonstrated competency in inventory management. Level Characteristics Level I Performs routine operational functions with a focus on inventory accuracy, customer service, and efficiency. Requires the physical ability to safely perform material handling duties and transport supplies throughout the facility.
Demonstrates initiative, teamwork, and effective problem-solving skills. Level II Demonstrates advanced operational knowledge and expertise. Serves as a resource and mentor for Level I associates.
Possesses experience with ERP systems and inventory management processes. Performs complex inventory, reporting, and customer support functions with minimal supervision.
Education High School Diploma or GED required. Some college coursework preferred but not required. Experience Level I Minimum of one year of experience in one or more of the following areas: distribution, warehousing, shipping and receiving, logistics, material handling, customer service, inventory control, or a related service environment.
Experience in a fast-paced, customer service-oriented environment strongly preferred. Level II Minimum of two years of experience in one or more of the following areas: distribution, warehousing, shipping and receiving, logistics, material handling, customer service, inventory control, or a related service environment. Degrees, Licensure, and Certifications Valid Driver's License may be required.
