JOB SUMMARY Position serves as a supervisor for the GME program coordinators within the department, providing strategic guidance and oversight for the successful administration and coordination of multiple accredited/non-accredited residency/fellowship programs.
This position requires a high level of autonomy, expertise, and plays a critical role in shaping the strategic direction of GME programs within the department and contributing to the overall success of the GME enterprise at UT Southwestern Medical Center. This role may supervise GME Program Coordinators and is responsible for ensuring program compliance with all accreditation standards, institutional policies, and regulatory requirements.
This role requires advanced knowledge, skills, and experience in all aspects of GME program administration and the ability to make independent decisions and exercise sound judgment in complex situations. EXPERIENCE AND EDUCATION Required Education Bachelor's Degree in business administration, healthcare administration, or a related field Experience 6 years of direct experience as the primary GME program coordinator of an ACGME-accredited residency-fellowship program(s) 2 years of supervisory experience May be required to submit to a federal background investigation. Preferred Education Master's Degree Licenses and Certifications (TAGME) TRAINING ADMINS OF GRAD MED ED (highly preferred) Upon Hire JOB DUTIES Manages the strategic planning and development of the GME program(s), in collaboration with the Program Director, ensuring alignment with institutional and departmental goals.
Develops, implements, and ensures compliance with all departmental GME policies and procedures, ensuring adherence to all applicable accreditation standards, university policies, and legal regulations. Serves as a key resource and subject matter expert for faculty, residents, and staff on GME policies and procedures. Manages the daily operations of multiple departmental educational programs, including core residency and subspecialty fellowships, while ensuring meticulous program record-keeping and data management.
Provides expert consultation and guidance to Program Directors and Program Coordinators on all aspects of program administration, including accreditation requirements, program development, and the resolution of complex issues. Supervises and mentors GME Program Coordinators, providing guidance, feedback, and support for their professional development. This includes conducting performance appraisals, providing mentorship and coaching, and contributing to their career advancement.
Acts as a supervisor and intermediary between Program Directors, Education Staff, Trainees, and all other internal and external stakeholders, ensuring seamless communication and collaboration. Ensures program compliance with all ACGME requirements and institutional policies, including overseeing the preparation for and participation in accreditation site visits, self-studies, and special reviews. Serves as the departmental expert on GME accreditation standards and regulations, providing guidance and support to Program Directors and Coordinators on all accreditation-related matters.
Ensures compliance with all applicable regulations, including but not limited to HIPAA, FERPA, and all relevant state and federal laws. Oversees the maintenance of all GME departmental program records and data, including the preparation of complex reports for accrediting agencies and university administration, and conducting statistical analysis of program performance to inform program improvement. Oversees GME program finances, including budget development, management, and compliance.
This includes responsibilities such as forecasting, monitoring expenditures, reconciling trainee clinical effort, ensuring compliance with all financial regulations, and managing the budget development process for program-related activities. Ensures compliance with all university policies and procedures related to human resources, finance, and GME administration. This includes overseeing resident/fellow leave requests, managing PeopleSoft/HCM transactions, and ensuring adherence to all relevant policies and regulations.
