This rewarding role serves as a vital first point of contact for patients and families, ensuring a positive experience while supporting accurate registration, insurance verification, and revenue cycle processes.
The Patient Access Specialist is responsible for onsite patient registration, insurance verification, appointment scheduling, and point-of-service collections. With occasional guidance, this role also helps resolve registration, billing, insurance, and payment-related inquiries while delivering outstanding customer service to patients and families. Key Responsibilities Patient Registration & Insurance Verification Obtain, verify, and update patient demographic information. Complete patient check-in and check-out processes accurately and efficiently. Distribute clinic-specific forms and required documentation.
Verify guardianship information and obtain insurance cards. Verify insurance coverage and eligibility. Secure authorization and referral information as needed for each encounter.
Create and maintain patient charts within the electronic health record (EHR) system. Financial Responsibilities Collect copays, prepayments, and outstanding patient balances. Assist with registration, billing, insurance, and payment inquiries.
Support revenue cycle activities while maintaining excellent customer service standards. Scheduling & Documentation Schedule patient appointments according to departmental policies and procedures. Ensure required annual forms are complete, accurate, current, and maintained in accordance with organizational policies.
Administrative Support Sort and distribute mail, medical records, and other correspondence. Receive delivered equipment and documents. Maintain a clean, organized, and professional lobby and work area.
Participate in staff meetings, educational sessions, and ongoing training. Take phone messages and provide administrative support as needed. Perform additional duties during downtime, including attaching claims to visits and working assigned work queues.
Qualifications Required High School Diploma or equivalent. Specialized training beyond high school (1-2 years preferred). Minimum of 2-3 years of medical office experience.
Preferred Bilingual (English/Spanish). Experience with Epic electronic health record system.
