The Pre-Arrival Specialist serves as a primary point of contact between patients, physicians, medical offices, and hospital departments to coordinate accurate and timely scheduling of healthcare services. This position manages physician orders and referrals, verifies insurance information, provides patients with preparation instructions, and ensures scheduled services meet established departmental and organizational requirements.
The Pre-Arrival Specialist delivers excellent customer service while using knowledge of healthcare insurance, coding practices, clinical departments, and scheduling systems to support an efficient patient experience. DUTIES: Coordinates enterprise-wide scheduling for multiple healthcare services and physician referrals while considering departmental resources, utilization requirements, and established scheduling protocols.
Reviews physician orders and referrals for accuracy and completeness, ensuring the requested service matches the scheduled procedure and obtaining clarification or additional information when necessary. Serves as a liaison between patients, physician offices, medical staff, and hospital departments to facilitate communication and resolve scheduling or service-related questions. Provides patients with clear instructions regarding appointment preparation, arrival requirements, and other information necessary for scheduled services.
Verifies patient insurance coverage using applicable insurance verification websites, electronic systems, and hospital resources when required. Maintains professional telephone etiquette, utilizes communication technology effectively, and meets established call handling, productivity, and customer service expectations. Builds and maintains collaborative relationships with internal and external customers while promoting accuracy, timely communication, and a positive patient experience.
Manages assigned workload efficiently, maintains a safe and organized work environment, adapts to changing processes and responsibilities, and identifies opportunities to improve scheduling workflows and departmental performance. JOB
