Reports directly to the designated manager for the assigned practice or outpatient department, this role is responsible for supporting daily front desk and patient access operations. The position ensures efficient scheduling, registration, and coordination of patient services while delivering excellent customer service and serving as a liaison between patients, clinical staff, and providers. ResponsibilitiesSchedule patient appointments in accordance with practice guidelines.
Collect and verify patient demographic and financial information during registration. Complete patient registration and related administrative functions. Obtain required patient signatures and documentation for billing and insurance purposes.
Process referral requests for providers within the clinic module. Obtain prior authorization or referral numbers when required for services. Order laboratory and diagnostic tests via the electronic system as directed by physicians.
Perform end-of-day tasks, including disposition reporting and collection of statistical data. Answer incoming telephone calls and assist patients with inquiries. Announce patient arrivals and coordinate patient flow within the department.
Serve as a liaison between patients, nurses, physicians, and other staff members. Provide a welcoming environment and deliver high-quality customer service to all patients and visitors. Knowledge, Skills, and AbilitiesStrong customer service and communication skills.
Ability to accurately collect and enter patient demographic and financial information. Strong organizational skills with attention to detail. Ability to multitask and work effectively in a fast-paced healthcare environment.
Basic understanding of medical terminology, insurance processes, and scheduling systems preferred. QualificationsEducationHigh school diploma or GED required. No additional preferred education required.
ExperienceMinimum of two (2) years of experience in a clinical office setting with strong patient registration, front desk, and insurance knowledge required. Two (2) to four (4) years of clerical or customer service experience preferred, ideally in a healthcare environment. One (1) year of experience working with third-party payors, including inputting and reviewing patient demographic information, preferred.
Knowledge, Skills, and AbilitiesStrong knowledge of insurance plans, guidelines, and authorization/pre-certification processes. Ability to obtain insurance authorizations and pre-certifications accurately and efficiently. Excellent decision-making skills, initiative, and attention to detail.
Strong verbal and written communication skills in English. Basic arithmetic skills required for cashiering functions. Strong data entry and computer skills.
Ability to prioritize tasks and organize workflow effectively. Ability to remain professional and provide excellent customer service in stressful situations. Strong conflict resolution skills.
Familiarity with ICD-9 and CPT coding preferred. Completion of a standard terminology or medical terminology course is helpful but not required.
