Responsibilities The Manager, Data, CRM & Analytics is responsible for the general management and integrity of the Foundation's fundraising donor database, online giving, and related fundraising technology. This position works with the Director of Prospect Management, Research, and Analytics for the implementation, maintenance, training, and continuous improvement of fundraising databases and data processes used throughout the Foundation.
Key responsibilities include gift reconciliation, reporting and analytics, data integrity, fundraising systems support, and foundational prospect research to support fundraising and donor engagement. The Manager, Data, CRM & Analytics ensures that relevant prospect and donor information is accurately documented and maintained within the CRM. This position works collaboratively with the Director of Prospect Management, Research, and Analytics and other Foundation partners to translate data and information into useful insights that support fundraising strategy and decision-making.
The Manager, Data, CRM & Analytics also provides direct supervision of the Database Coordinator. This
reflects the current primary responsibilities of the position and is not intended to be an exhaustive list of all duties. This position should remain focused on strengthening the data, systems, research, analytics, and operational infrastructure that supports effective philanthropy while identifying opportunities to enhance processes and expand capabilities in alignment with the Foundation's strategic priorities and evolving needs.
Key Accountabilities: Oversees the Foundation’s fundraising database, online giving, and related fundraising technology, ensuring reliable day-to-day operation and effective use. Maintains strong data integrity through established standards, routine audits, data cleanup, documentation, and quality-control practices. Partners with the Director of Prospect Management, Research, and Analytics to manage gift and constituent records, including gift reconciliation, fund/account designation, and coordination with Finance and other internal partners.
Ensures that all gift capture systems and subscriptions are aligned with the Foundation's strategic goals. Develops, documents, and continuously improves database procedures, workflows, data standards, and business processes that support operations. Serves as a primary resource for database troubleshooting and promote consistent and effective system use.
Evaluates database infrastructure, integrations, and workflows for performance, scalability, efficiency, and the ability to meet the Foundation's evolving needs. Works with the Director of Prospect Management, Research, and Analytics to identify process improvements and implement solutions that improve efficiency, accuracy, and access to useful information. Performs other responsibilities and special projects consistent with the purpose of the position as Foundation priorities, systems, and fundraising needs evolve.
Provides direct supervision, coaching, performance management, and professional development for the Database Coordinator and other assigned staff. Promotes operational excellence and a service-oriented approach to supporting Foundation staff and fundraising priorities. Maintains current knowledge of fundraising database practices, analytics, online giving, data governance, privacy, and relevant industry trends.
Conducts foundational research on individuals, corporations, and foundations using internal records, publicly available information, and approved research resources to support fundraising activities. Accurately documents relevant research findings, ratings, notes, and other prospect information in the CRM according to established standards and procedures. Maintains confidentiality and follows applicable organizational policies and professional ethical standards in the collection, use, documentation, and sharing of donor and prospect information.
Prepares and maintains donor management, fundraising, operational, and analytics reports for Foundation leadership and staff. Develops dashboards, queries, lists, and other reporting tools that provide timely and actionable information for fundraising activity and decision-making. Analyzes donor and fundraising data to identify trends, opportunities, and data-quality concerns.

Qualifications Required: With a Bachelor's Degree: Five years of progressively responsible experience in database management, fundraising operations, advancement services, CRM administration, analytics, or a related field, as well as at least three years of experience in managing staff. Without a Bachelor's Degree: Nine years of progressively responsible experience in database management, fundraising operations, advancement services, CRM administration, analytics, or a related field, as well as at least three years of experience in managing staff.
Desired: Experience in a nonprofit, healthcare, higher education, or other fundraising environment; experience with donor/prospect databases and foundational prospect research.
