GENERAL PURPOSE OF JOB:The Executive Assistant provides high-level administrative and organizational support to senior leadership. This role requires excellent judgment, discretion, communication skills, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant protects sensitive legal matters in an absolutely privileged and confidential manner at all times; takes a proactive approach to recognizing potential conflicts before they arise and places thehighest priority on working toward resolution of conflicts at all levels when the need arises.

  • Always maintains utmost level of confidentiality.
  • Adheres to hospital policies and procedures.
  • Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines.
  • Establishes and maintains good communications/relationships with nursing, senior staff, medical staff, and stakeholders.
  • Manage the executive's calendar, appointments, meetings, and travel arrangements.
  • Schedule and coordinate internal and external meetings.
  • Prepare meeting agendas, presentations, reports, and other documents.
  • Monitor emails and correspondence and help prioritize incoming requests.
  • Take meeting notes and track follow-up items and deadlines.
  • Coordinates domestic and international travel, including flights, hotels, transportation, and itineraries.
  • Handles confidential and sensitive information with discretion.
  • Prepare expense reports and assist with invoices or other administrative paperwork.
  • Serves as a point of contact between the executive and employees, clients, vendors, and other stakeholders.
  • Help organize company events, meetings, conferences, and executive engagements.
  • Tracks important deadlines, projects, and commitments.
  • Take responsibility and perform required executive office tasks without supervision.
  • Prioritizes and plans work activities effectively and in an organized fashion.
  • Occasionally assist with personal administrative tasks, depending on the executive and organization.
  • Anticipates the executive's needs and proactively address issues before they become problems.
  • Occasional travel to various work-related locations may be required. Reliable transportation is required.
  • Punctuality is an essential function of the role.EDUCATION AND/OR

Associate's degree (A. A.) or equivalent from two-year college or technical school preferred; 2 -5+ years of experience in administrative, executive assistant, office management, or related field. Excellent organizational and time-management skills.

Strong written and verbal communication skills. Ability to handle confidential information appropriately. Strong attention to detail.

Ability to prioritize competing deadlines. Professional and comfortable communicating with executives and senior-level stakeholders. Proficiency with Microsoft Office or Google Workspace.

Experience with calendars, scheduling platforms, video conferencing, and other business software. CERTIFICATES, LICENSES, REGISTRATIONS. Must have active unrestricted driver’s license.

Obtain Notary Public within the first year of hire.
